2. Information We Collect
We collect information you provide directly and technical information generated when you use the website. The information requested depends on the form or service you use.
Information you provide
- Contact and enquiry details: your name, email address, telephone number, and the content of your enquiry or correspondence. Some forms also allow you to provide your gender.
- Student enquiries: your age category, UK residency category, English language information, preferred course and campus, and any referral code associated with your enquiry.
- Agent or partner enquiries: your date of birth, city or town, recruitment experience, and referral information, as well as your contact details.
- Website assistant messages: messages and any personal information you choose to include when using a chat assistant available on the website.
We do not request detailed immigration documentation through these public website enquiry forms. Please avoid including identity documents, health information or other sensitive information in a general enquiry unless we specifically request it through an appropriate channel.
Providing information is voluntary. Fields marked as required are needed to submit the relevant form and respond to your request. If you do not provide them, we may be unable to process your enquiry or provide the guidance you request. Submitting a form does not itself create a contract or guarantee admission.

- IP address, browser and device information, and technical request information used to deliver and secure the website.

- Help you explore courses and facilitate progression to partner institutions where you request this.

- Provide responses to questions you choose to submit through a website assistant. These responses are general guidance and do not determine admission or eligibility.
- Operate, maintain and protect the website.
- Understand website usage through analytics where you consent.
- Send optional marketing communications where you have consented to receive them.
- Handle privacy requests and complaints, meet applicable legal obligations, and establish, exercise or defend legal claims.
We do not sell personal information.

- Assessing tuition fee categories and supporting requested referrals: legitimate interests, Article 6(1)(f). Our interests are to assess the guidance relevant to your circumstances and help you pursue the educational opportunities you have asked about.
- Considering agent or partner enquiries: legitimate interests, Article 6(1)(f), to assess and respond to potential working relationships. Where processing is necessary to take steps you request before entering into a contract with us, we rely on Article 6(1)(b).
- Website operation and security: legitimate interests, Article 6(1)(f), to provide a functioning service, prevent misuse and protect the information entrusted to us.
- Optional analytics and marketing communications: consent, Article 6(1)(a). Analytics consent is separate from any consent to receive marketing communications.
- Complying with applicable legal duties, including responding to data protection rights requests: legal obligation, Article 6(1)(c).
- Establishing, exercising or defending legal claims: legitimate interests, Article 6(1)(f), to protect our legal rights.
Where we rely on legitimate interests, we must consider your interests, rights and freedoms. You can object to this processing as explained in section 10.
Where we rely on consent, you can withdraw it at any time. Withdrawal does not affect the lawfulness of processing carried out before withdrawal.
5. Who We Share Information With
We may share relevant personal information, where necessary for the purposes above, with:
- Partner higher education institutions when you ask us to support progression or a referral. Those institutions act as independent data controllers for their own admissions and related activities; their privacy notices explain their processing.
- Hosting, IT and communications service providers that support the website, our systems and our responses to enquiries.
- OpenAI when you submit a question through the website assistant: your question and recent conversation context are sent to its service to generate a response. Do not include sensitive personal information in chat messages.
- Google Analytics for website usage analysis when you have consented to analytics cookies.
- Professional advisers, regulators or public authorities where disclosure is necessary to meet a legal obligation or establish, exercise or defend legal claims.
We limit sharing to information relevant to the purpose. Service providers acting on our behalf must process personal information under appropriate data protection arrangements.
6. International Transfers
Some service providers may process personal information outside the United Kingdom. In particular, Google and OpenAI operate internationally, so using Google Analytics after you consent, or submitting a question to the website assistant, may involve processing outside the UK, including in the United States.
Where this involves a restricted transfer under UK GDPR, the transfer must be covered by applicable UK adequacy regulations or appropriate safeguards, such as the UK International Data Transfer Agreement or the UK Addendum to the European Commission's Standard Contractual Clauses, together with any required transfer assessment and additional protective measures.

Google explains its transfer arrangements in its data transfer information. These arrangements do not remove LTC's responsibility for transfers for which we are responsible.
7. How Long We Keep Information
We keep personal information only for as long as reasonably necessary for the purpose for which it was collected, taking account of applicable legal requirements.
Website enquiry data is generally retained for up to 24 months unless further engagement occurs. Where an enquiry leads to an ongoing relationship, the appropriate retention period depends on the services or relationship involved and applicable legal requirements.
We may retain limited information where necessary to establish, exercise or defend legal claims. You can contact us for information about the retention period applicable to your records. Cookie and browser storage durations are explained in the Cookie Policy.
8. How We Protect Information
We implement appropriate technical and organisational safeguards, including secure hosting, encrypted website connections (HTTPS), restricted database access and controlled administrative access.
While reasonable safeguards are in place, no system can guarantee absolute security.
9. Children
This website is not directed at individuals under the age of 18. We do not knowingly provide services directly to minors without appropriate parental or guardian involvement.

- Withdrawal of consent: withdraw consent at any time where consent is the basis for processing, without affecting earlier lawful processing.
- Automated decision-making safeguards: where applicable, receive information about significant decisions made solely by automated processing, make representations, request human intervention and contest a decision. We do not use your personal information to make solely automated decisions, including profiling, that produce legal or similarly significant effects.
Your right to object
You can object at any time to processing based on legitimate interests for reasons relating to your particular situation. You can also object to direct marketing at any time, without giving a reason, and we must stop using your information for that purpose.

We normally respond to rights requests without undue delay and within one calendar month. Where the law permits an extension or a different time calculation, we will explain this. Requests are normally free of charge. If a legal exception limits what we can do, we will explain our decision and your options.
11. Withdrawing Consent and Managing Cookies
You can withdraw consent to optional communications by contacting gdpr@londontrainingcollege.com or using an unsubscribe option where one is provided. Refusing or withdrawing marketing consent does not prevent us from responding to an enquiry you have made.
Optional analytics is off until you choose to accept it. You can accept or reject analytics in the cookie notice and change your choice at any time using Cookie settings in the website footer. Rejecting analytics does not prevent you from using the website or submitting an enquiry.

We will acknowledge your complaint within 30 days, investigate it appropriately and communicate the outcome without undue delay.
